Presentation Submission Criteria

In order to present at the Innovations Conference, you must be

  1. employed by a community college or not-for-profit university, or
  2. an exhibitor and/or sponsor at this event.

Please note: Exhibition space is a benefit reserved for Platinum Partners, exhibitors, and League member colleges. 

Conference App

The League’s new event app* provides all the information participants, exhibitors, and sponsors need for a rewarding conference experience. Exhibitors' company logos, descriptions, and booth numbers will be featured on the app to allow for maximum exposure.

    Internet Access in the Exhibition Hall

    Exhibition Hall Internet access may be purchased through the Exhibitor/Sponsor/Ad Portal by your organization’s Company Liaison(s). Wireless Internet service in the Exhibition Hall is free for Platinum Partners and $250 for Exhibitors. A wired Internet connection in the Exhibition Hall is $400 for any exhibiting organization.

    Ignite Theater - $250/10-minute presentation

    Schedule a presentation in the Exhibition Hall's Ignite Theater to engage participants in product demonstrations, training sessions, author interviews, etc. This is a wonderful way to compliment your booth presence. Presentations are scheduled in 10-minute slots during Monday's Exhibition Hall hours and advertised in the conference app.

    Presentations include theater setup, podium/stage, microphone, projector, and screen. Please note: Exhibitors who need a laptop or tablet for their Ignite Theater presentation are required to bring their own. The League does not provide this equipment or associated adapters.

    How can my company exhibit at Innovations 2019?

    To purchase a booth or sponsorship in the Exhibitor/Sponsor/Ad Portal, you must (1) have an active account with the League and (2) be designated as a Company Liaison for your business or institution. To learn the name(s) of your Company Liaison(s), to identify a Company Liaison for your business or institution, and/or to learn more about exhibiting, contact Event Producers.

    What is the cost to exhibit at Innovations 2019?

    What is included in a standard booth package?

    The standard package includes a booth with standard pipe, drape, and side rails (8’ high back drape; 3' high side drapes). Also included is a 6' skirted table, 2 chairs, a wastebasket, and a 7" wide x 44" long identification sign (one line with exhibitor’s name in black block letters on a white background). Additional furniture is available for a fee from GES (see below), the League's drayage/decorating company. The Exhibition Hall is carpeted.

    How many registrations are included with my booth purchase?

    Platinum Partners receive 10 full registrations and Exhibitors receive two full registrations. A Company Liaison for your business or institution may purchase additional registrations through the Exhibitor/Sponsor/Ad Portal at the League Board rate. 

    How do I register my booth staff?

    Company representatives who plan to (a) act as booth personnel, (b) attend any sessions at the conference, and/or (c) present a conference session must be registered for the conference. A Company Liaison for your business will do this through the Exhibitor/Sponsor/Ad Portal.  To learn the name(s) of your Company Liaison(s) or to identify a Company Liaison for your business or institution, contact Event Producers.

    How do I order Internet access for the Exhbition Hall?

    Exhibition Hall internet access may be purchased through the Exhibitor/Sponsor/Ad Portal by your organization’s Company Liaison(s).     How will my exhibiting company be featured in the conference app?

    Starting this year, a comprehensive and interactive conference app will replace the hard copy event program/guide to the exhibition. In order to appear in the conference app, the following must be submitted (by your Company Liaison) via the Exhibitor/Sponsor/Ad Portal by February 11, 2019: company contact information, company description, and company logo. Exhibitor add-ons, such as Ignite Theater presentations, are available for purchase to further enhance your company’s presence at the Innovations Conference.

    What is the Ignite Theater?

    A stage setup will be provided by the League for 10-minute presentations by Platinum Partners and Exhibitors who want to engage participants in product demonstrations, training sessions, author interviews, etc. This opportunity compliments your booth presence and is available at a budget-friendly cost. See the Exhibitor Opportunities tab (above) for additional information.

    When will the exhibitor service kit be available? 

    The exhibitor service kit will be sent to you upon completion of your booth purchase.

    Can I send shipments to the advance warehouse?

    Yes. Please refer to your exhibitor service kit for instructions.

    What other exhibitors will be participating at Innovations 2019?

    A list of exhibitors with booth numbers will be available in the conference app.

    Who do I contact to order food and beverages for my booth?

    Contact Robin Piccirilli to order food and beverages for your booth. Exhibitors are responsible for the cost of food and beverages ordered for their booths.

    Are there opportunities to advertise or sponsor conference activities?

    There are great opportunities to advertise and sponsor activities at Innovations 2019. Click on the Sponsorships tab above to find out more.

    How do I block hotel rooms for my company?

    The League has arranged a discounted rate of $289* per night (single/double) at the New York Marriott Marquis for Innovations 2019 participants, exhibitors, and sponsors. The cut-off date for accepting reservations into the conference block is January 30. All conference sessions will be held at the New York Marriott Marquis.

    *Room rates are subject to applicable state and local taxes, plus occupancy fees in effect at the time of check in.

    WARNING: DO NOT BOOK A HOTEL ROOM with companies such as Convention Expo Travel or Convention Housing Services. These companies are contacting conference participants directly and advising that they officially represent the conference. These companies are IN NO WAY affiliated with the Innovations Conference or the League for Innovation. The League is not responsible for reservations made with these companies.

    Can my company hold a meeting during the conference?

    There is no cost for ancillary meeting space for Platinum Partners and Exhibitors. The cost of food, beverages, and AV equipment is the partner or exhibitor's responsibility. Ancillary meeting space is limited and offered on a first-come, first-served basis. Organizations can reserve ancillary meeting space at the conference by contacting Robin Piccirilli.

    Is security provided in the Exhibition Hall?

    Loading dock security personnel are provided during load-in and load-out hours. Security personnel are stationed within the Exhibition Hall when the hall is closed. Badge checkers for the Exhibition Hall are stationed at the front doors during Exhibition Hall hours. This level of security is intended to control the access of people and material to and from the Exhibition Hall in a safe and organized manner. It is not intended as individual security for your booth and materials. Please remember that the hotel is a public building to which hundreds of individuals have access. Do not leave items of value in your booth overnight, during the load-in and load-out periods, or on exhibition days without taking security precautions. Exhibitors can order overnight booth security from the security vendor.

    Are lead retrieval scanners available at the conference?

    New this year, lead retrieval scanners have been replaced with access to participant information through the conference app before, during, and after Innovations 2019. Your leads will be downloadable.

    How do I locate my booth materials upon arriving at the conference?

    Exhibitors must first check in at the Conference Registration Desk upon arrival to pick up conference badges; badges with Exhibitor ribbons are required in order for exhibitors to enter the hall while it is closed to participants. The League's decorator, GES, handles exhibitors’ shipping needs. Freight shipped to GES will be placed at exhibition booths by them on load-in days. It is highly recommended that exhibitors have their tracking number available to help identify the location of any missing materials.

    Can I deliver exhibit materials to the hotel myself?

    Yes. Exhibitors may deliver materials directly to the hotel. Personal vehicles delivering exhibition freight and materials to the hotel can come direct to the conference site on the scheduled move-in days. Please remember that there will be a large number of trucks and private vehicles making deliveries during the load-in period. Arrive at the hotel by 10:00 AM to allow plenty of time for unloading and delivery of materials to your booth.

    Can I carry exhibit materials into the hotel and to my booth?

    Yes. Exhibitors may hand carry material through the door, provided they do not use material handling equipment to assist them.

    Is a booth upgrade available?

    Platinum Partners receive their choice of booth size up to a 20x30 free of charge. Exhibitors may choose from the booth sizes and prices outlined on the Partner and Pricing Benefits page.

    Can I bring my family or a guest to the conference?

    Only registered participants can attend conference activities. Children under the age of 18 are not permitted at the conference.

    Make the Most of Your Exhibition Experience at Innovations 2019

    Peer-to-peer selling is a formula that works well at the League’s Innovations Conference.

    Choose the exhibit booth that most effectively meets your marketing needs and budgetary requirements.

    Reserve a time to present at the Exhibition Hall's Ignite Theater to engage participants in product demonstrations and the like. This is a wonderful way to compliment your booth presence.

    Present a session during which a community college representative discusses how your product or service benefits and/or serves the community college market. The League uses a rigorous process to select proposals and sales pitches are not accepted.

    Make sure team members assigned to your booth are (1) registered for this event by a League-designated Company Liason and (2) well trained to represent your company, generate leads, and secure sales. Ensure that everyone involved fully understands what needs to be accomplished during the conference.

    Consider contacting conference participants using the conference app. Invite participants to your exhibit booth, Ignite Theater presentation, or session.

    Create energy and increase booth traffic by giving away a high-end prize (e.g., iPad, digital camera) or sponsoring a Participant Challenge in the conference app. Select promotional products and giveaways that complement your company image.

    Host a reception for current and potential customers. Hand out invitations at your booth or Ignite Theater presentation, or invite participants using the conference app. There is no cost for ancillary meeting space for Platinum Partners and Exhibitors. Set-up fees, catering, and AV fees are the partner or exhibitor’s responsibility. Ancillary meeting space is limited and offered on a first-come, first-served basis.

    Use online and social marketing opportunities such as webinars, blogs, online videos, Twitter, and Facebook to complement traditional marketing methods before, during, and after the conference.

    Send a personalized, handwritten note, along with a customized company information packet or other appropriate material, to booth visitors within a week following the conference to help turn leads into sales.

    By sponsoring Innovations Conference events and materials, your company gains visibility and access to approximately 1,500 campus leaders, faculty members, and staff from community colleges across the U.S and beyond.
