Presentation Submission Criteria

In order to present a forum, roundtable discussion, or poster session at the Innovations Conference, you must be

  1. employed by a community college or not-for-profit university, or
  2. an exhibitor and/or sponsor at this event.

Ignite Theater

Schedule a presentation in the Exhibition Hall's Ignite Theater to engage participants in product demonstrations, training sessions, author interviews, etc. This is a wonderful way to compliment your booth presence.

Please Note: Exhibitors who need a laptop or tablet for their Ignite Theater presentation are required to bring their own. The league does not provide this equipment.

Presentations will be scheduled for ten-minute intervals during Exhibition Hall hours. Presentations include theater setup, podium/stage, microphone, projector, and screen. Applications are processed on a first-come, first-served basis. Your application and payment must be received by December 14, 2018

    What is the Exhibition Hall schedule?

    The Innovations 2019 schedule indicates Exhibition Hall hours.

    How are booth assignments made?

    Booth selection is offered on a first-come, first-serve basis, with Platinum Partners receiving first priority, followed by Exhibitors. Adjustments to the floor plan may be made at the discretion of the League.

    What is the cost to exhibit at Innovations 2019?

    Refer to the Exhibitor Opportunities tab (above) for information about exhibitor costs.

    What is included in a standard booth package?

    The standard booth package includes a booth with standard pipe, drape, and side rails. Back drape will be 8' high; side drapes will be 3' high. Also included is a 6' skirted table, 2 chairs, and a wastebasket. The standard booth package also includes a one-line, 7" wide x 44" long identification sign with the exhibitor’s name in black block letters on a white background and a complimentary corporate description in the conference app. Sponsors receive a booth upgrade. Additional furniture is available at an extra charge from GES (see below), the League's drayage/decorating company. The Exhibition Hall is carpeted.

    What is the Ignite Theater?

    A stage setup will be provided by the League for 10-minute presentations by Platinum Partners and Exhibitors who want to engage participants in product demonstrations, training sessions, author interviews, etc. This opportunity compliments your booth presence and is available at the budget-friendly cost of only $250.     When will the exhibitor service kit be available? 

    The exhibitor service kit will be available in the fall of 2018.

    Can I send shipments to the advance warehouse?

    Please refer to the Exhibitor Kit (see tab above) for instructions.

    What other exhibitors will be participating at Innovations 2019?

    A list of exhibitors with booth numbers will be available in the fall of 2018.

    Who do I contact to order food and beverages for my booth?

    Contact Robin Piccirilli to order food and beverages for your booth. Exhibitors are responsible for the cost of food and beverage ordered for their booths

    How many registrations are included with my partnership?

    Platinum Partners receive 10 full registrations and Exhibitors receive two full registrations. Contact Robin Piccirilli to purchase additional registrations.

    Are there opportunities to advertise or sponsor conference activities?

    There are great opportunities to advertise and sponsor activities at Innovations 2019. Click on the Sponsorships tab above to find out more.

    How do I block hotel rooms for my company?

    Single room reservations can be made by visiting the Hotel & Travel page. Reserve a block of rooms at the conference hotel by contacting Robin Piccirilli.

    WARNING: DO NOT BOOK A HOTEL ROOM with companies such as Convention Expo Travel or Convention Housing Services. These companies are contacting conference participants directly and advising that they officially represent the conference. These companies are IN NO WAY affiliated with the Innovations Conference or the League for Innovation. The League is not responsible for reservations made with these companies.

    Can my company hold a meeting during the conference?

    There is no cost for ancillary meeting space for Platinum Partners and Exhibitors. The cost of food and beverages is the partner's responsibility. Ancillary meeting space is limited and offered on a first-come, first-served basis. Organizations can reserve ancillary meeting space at the conference by contacting Robin Piccirilli.

    Are free customer passes available?

    Yes. Platinum Partners and Exhibitors can invite their customers to attend the exhibition free of charge. Passes are to be used only for customers and only allow access to the Exhibition Hall. Contact Robin Piccirilli to obtain free customer passes to the Exhibition Hall.

    How do I register my booth staff for employee badges?

    Contact Robin Piccirilli to register booth staff for employee badges and access to the Exhibition Hall.

    Is security provided in the Exhibition Hall?

    Loading dock security personnel are provided during load-in and load-out hours. Security personnel are stationed within the Exhibition Hall when the hall is closed. Badge checkers for the Exhibition Hall are stationed at the front doors during Exhibition Hall hours. This level of security is intended to control the access of people and material to and from the Exhibition Hall in a safe and organized manner. It is not intended as individual security for your booth and materials. Please remember that the hotel is a public building to which hundreds of individuals have access. Do not leave items of value in your booth overnight, during the load-in and load-out periods, or on exhibition days without taking security precautions. Exhibitors can order overnight booth security from the security vendor.

    Are lead retrieval scanners available at the conference?

    If you would like to obtain conference participant email addresses during the conference, rent a lead retrieval scanner from our AV contractor, AV Images, by emailing William Trombino or by calling 800.801.1500.

    How do I locate my booth materials upon arriving at the conference?

    Exhibitors must first check in at the Conference Registration Desk upon arrival to pick up conference badges; badges with Exhibitor ribbons are required in order for exhibitors to enter the hall while it is closed to participants. The League's decorator, GES, handles exhibitors’ shipping needs. Freight shipped to GES will be placed at exhibition booths by them on load-in days. It is highly recommended that exhibitors have their tracking number available to help identify the location of any missing materials.

    Can I deliver exhibit materials to the hotel myself?

    Yes. Exhibitors may deliver materials directly to the hotel. Personal vehicles delivering exhibition freight and materials to the hotel can come direct to the conference site on the scheduled move-in days. Please remember that there will be a large number of trucks and private vehicles making deliveries during the load-in period. Arrive at the hotel by 10:00 AM to allow plenty of time for unloading and delivery of materials to your booth.

    Can I carry exhibit materials into the hotel and to my booth?

    Yes. Exhibitors may hand carry material through the door, provided they do not use material handling equipment to assist them.

    Is a booth upgrade available?

    Platinum Partners receive their choice of booth size up to a 20x30. Exhibitors may choose from the booth sizes outlined on the Partner and Pricing Benefits page. Companies that sponsor a conference activity or materials receive a booth upgrade as a benefit of the sponsorship.

    Can I bring my family to the conference?

    Children under the age of 18 are not permitted at the conference.

    How do I order Internet access for the conference? 

    Platinum Partners receive wireless Internet service in the Exhibition Hall at no additional cost. There is a $250 fee for wireless Internet service in the Exhibition Hall for Exhibitors, as well as a $400 fee for any organization requiring an Ethernet line in the Exhibition Hall.

    Make the Most of Your Exhibition Experience at Innovations 2019

    Peer-to-peer selling is a formula that works well at the League’s Innovations Conference.

    Choose the exhibit booth that most effectively meets your marketing needs and budgetary requirements.

    Reserve a time to present at the Exhibition Hall's Ignite Theater to engage participants in product demonstrations and the like. This is a wonderful way to compliment your booth presence.

    Present a session during which a community college representative discusses how your product or service benefits and/or serves the community college market.

    Make sure team members assigned to your booth are well trained to represent your company, generate leads, and secure sales. Ensure that everyone involved fully understands what needs to be accomplished during the conference.

    Consider sending an email or direct mail to conference participants using the pre-conference list. Invite participants to your presentation and to your exhibit booth.

    If you would like to obtain potential customers' email addresses during the conference, rent a lead retrieval scanner from our AV contractor, AV Images, by emailing wjt@avimages.com or by calling 800.801.1500.

    Create energy and increase booth traffic by giving away a high-end prize (e.g., iPad, digital camera). Select promotional products and giveaways that complement your company image.

    Host a reception for current and potential customers. Hand out invitations at your booth or Ignite Theater presentation, or invite participants using the pre-conference participant list. There is no cost for ancillary meeting space for Platinum Partners and Exhibitors. Set-up fees (if required), catering, and AV fees are the partner or exibitor’s responsibility. Ancillary meeting space is limited and offered on a first-come, first-served basis.

    Use online and social marketing opportunities such as webinars, blogs, online videos, Twitter, and Facebook to complement traditional marketing methods before, during, and after the conference.

    Send a personalized, handwritten note, along with a customized company information packet or other appropriate material, to booth visitors within a week following the conference to help turn leads into sales.
